Module 5: Services & Programs
Record goods and services provided to clients, manage food bank transactions, log group activities, and handle service restrictions.
The Goods and Services module records all goods and services provided to clients by your service provider. A transaction first creates the record, then goods and services are added to it.
How to Add a Goods & Services Transaction
- From the Front Desk menu, select Goods and Services.
- Click Add Goods and Services Transaction.
- Search for and select the client.
- Select the Reason for Service โ this should reflect the main reason the client is at the service provider.
- Confirm the start date and time.
- If applicable, select the program, referral source, and any linked Case Management activity.
- If applicable, enter the number of individuals included, referral information, geographic region, and capture the service location (GPS, map, or coordinates).
- Click Save.
How to Add a Good to a Transaction
- After saving, the Goods and Services tabs appear. Select the Goods tab and click Add Good.
- Select the type of good and the unit of measure.
- Enter the quantity, unit cost, and unit price if applicable.
- Click Add Good.
How to Add a Service to a Transaction
- Select the Services tab and click Add Service.
- Select the type of service.
- Confirm the start date and time. If applicable, enter end date/time, hours spent, and cost/price.
- Click Add Service.
Express Transactions (Quick Entry)
For faster data entry of common goods or services, use the Express options:
- Click Add Express Good on the Goods and Services List page.
- Search for and select the client.
- Select the good, program (if applicable), unit of measure, and Reason for Service.
- Click Save.
- Click Add Express Service on the Goods and Services List page.
- Search for and select the client.
- Select the service, program (if applicable), and Reason for Service.
- If applicable, enter time spent in minutes and referral information.
- Click Save.
The Food Banks module records food items provided to clients. A client does not need to be booked in to receive food bank services. Food bank items are added in the Administration menu โ see Module 10.
How to Add a Food Bank Transaction
- From the Front Desk menu, select Food Banks.
- Click Add Food Bank Transaction.
- Search for and select the client.
- Confirm the start date and time.
- Select the Reason for Service.
- If applicable, select the program, referrer name/organization, and any linked case.
- If applicable, enter the number of individuals included.
- Click Save.
How to Add a Food Bank Item to a Transaction
- After saving the transaction, the Food Item tab appears. Select Add a Food Bank Item.
- Enter the item code or select the item from the Food Bank Item field.
- Enter the quantity. The Item Value fills automatically.
- Click Save.
The Group Activity module records group activities at the service provider, such as hot meals, support groups, or workshops. A client attending a group activity is kept Active only if the Attended field is set to Yes.
How to Add a Group Activity
- From the Front Desk menu, select Group Activities.
- Click Add Activity.
- Select the group activity type, program, and location if applicable.
- Confirm the start date and time. Enter expended hours/minutes and a description if applicable.
- Select the Reason for Service. Add referral and geographic region information if applicable.
- Optionally capture the service location using GPS, map, or coordinates.
- Click Save.
How to Manage a Group Activity (Add Attendees)
- From the Group Activity List, locate the activity and click Manage.
- On the Attendees tab, search for clients in the Client Name(s) field, or enter a number in Anonymous Attendees for unknown individuals.
- Click Add.
- On the Organizers tab, add staff members or external contacts.
- If anonymous attendees were added, use the Demographics tab to distribute their demographic details.
- To set up a recurring activity, go to the Replicate tab, set the options, select the dates on the calendar, and click Replicate.
The Service Restrictions module records services from which a client is restricted. Clients can be restricted from: Admissions, Food Banks, Goods and Services, and Group Activities. When a restriction is active, a Client Alert appears on the client's profile.
How to Add a Service Restriction
- From the Front Desk menu, select Service Restrictions.
- Click Add Service Restriction.
- Search for and select the client.
- Select who the restriction was requested by.
- Confirm the start date. The end date defaults to today โ change if the restriction will last longer.
- Select the service provider(s) where the restriction applies.
- Select the module(s) from which the client is restricted.
- Select the reason for the restriction, add any Comments, and click Save.
